JOB SUMMARY The Coordinator, Marketing Services functions as an integral part of the Marketing Services team whose main responsibility is to support the client-based or client-generated administrative needs of the Account Liaisons. Responsibilities include, but are not limited to, the accurate and efficient processing of client data entry, client and vendor data imports, physician update information, fulfillment support, and special projects necessary to deliver outstanding customer service to all business partners and stakeholders. Performs Mailroom and Fulfillment activities. ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Others may be assigned. Receive and prepare data entry from colleagues, clients and vendors. Includes class registration lists, web enrollment data, and physician update information. Prepare data imports as required. Special Projects including the maintenance of departmental databases used for client contact and contract reference. Support the Marketing Services function: In coordination with the department Supervisor, responsible for planning and initiating the daily responsibilities of the Marketing Services Operations Support function. Creates mailing projection documents and forecasts for volume and budgetary attention. Manages the inventory of collateral materials and works with team to ensure there is turnover of materials. Works with account managers and executives to prepare and distribute regular reporting to those clients using fulfillment functions. Works collectively with Marketing Services to reconcile catalog of marketing collateral quarterly. Works with client service team to ensure mailing and fulfillment processes are customizable and meet the expectation of our clients. Integrates fully with the Marketing Services team and Referral Services Department to maintain timely turnaround, quality, and accuracy of all client fulfillment. Mailroom duties: Supports all departments in the sorting and distribution of all internal and incoming mail, opening envelopes and parcels by hand or machine; prepares volume mailings – scheduled and ad hoc – in support of client marketing campaigns and initiatives; processes outgoing mail including bundling, weighing and posting. Includes USPS, FedEx and other vendors as required. Process improvement: Researches mailroom and fulfillment equipment to maximize efficiency; corrects fulfillment errors real time using call center system to ensure appropriate delivery; determines the most cost effective mailing methods under USPS and other vendors. Develops procedure manual for client support services management. Monitors quality assurance function of mailroom activities using the call center software. Ability to modify and/or correct letters and processes using the call center software in the real time. Develops and maintains collateral tracking platform in call center software system. Prepares comprehensive collateral reporting in call center software system. Uses audits to identify trends and training opportunities for Client or Referral Services teams. Other: Develops literature and brochure scripting and templates in call center management software; order supplies as needed, special projects and tasks as needed. EDUCATION / EXPERIENCE Include minimum education, technical training, and/or experience preferred to perform the job. High school diploma and/or equivalent. 2-3 years administrative or customer service experience required. Experience in database management helpful. Intermediate to Advanced Excel required.
